Show Site Operations Supervisor | Project Manager, Show Services

Summary

This position is responsible for the coordination and execution of all operational aspects of show site operations to ensure timely and efficient setup and dismantle of assigned events.

Responsibilities

  • Coordinate and plan all operational aspects of show site operations. Project, review, book and track labour requirements and onsite production schedules for assigned shows to ensure delivery and service requirements are met while managing costs.
  • Collaborate with internal departments to gather and determine operational requirements of assigned shows.
  • Work closely with account management and operations teams to gather requirements in order to efficiently determine and coordinate requirements for labour, equipment, transportation and production schedules.
  • Produce load lists and coordinate show requirements with appropriate internal departments.
  • Develop and execute event production plans and schedules to ensure seamless and successful installation and dismantle of assigned events and/or areas.
  • Organize, supervise, track site labour for efficient and effective set up and dismantle of events.
  • Manage labour and assets for assigned shows and/or assigned areas of show to ensure control of direct costs.
  • Ensure proper logging and documentation of materials, equipment, labour and show site additions of equipment/services.
  • Produce relevant pre- and post-show reports.
  • Adhere to all standard business operating procedures.

Qualifications

  • 5+ years industry experience in an operational capacity, inclusive of supervisory functions.
  • Solid understanding of show site operations.
  • Experience managing labour teams.
  • Exceptional communication skills with an ability to interface with various show site stakeholders including: labour, contractors, facility contacts and clients.
  • Strong communication, supervisory and leadership skills.
  • Keen eye for detail and strong organizational skills.
  • Ability to handle multiple tasks, projects and priorities in a deadline driven, fast-paced environment.
  • Proficiency in basic financial and computer skills.
  • Knowledge of applicable Ministry of Labour Regulations and adherence to on-site safety regulations.
  • Ability to adapt to multiple environments and shifting responsibilities.
  • Must have valid driver’s license with clean driving record and a reliable vehicle.
  • Ability to travel to various facilities within the GTA and Ontario.
  • Ability to work extended hours on show site, including early mornings, evenings, nights and weekends.

Account Manager, Show Services

Summary

This position works directly with show organizers, exhibitors, internal teams and various industry stakeholders to manage all aspects of assigned accounts in a primary and supporting role to ensure proper planning and successful execution of events. In this role you will be responsible for full cycle coordination and management of assigned events and accounts.

You are a customer-centric, team-oriented industry professional who thrives in a fast-paced, deadline-oriented environment and can seamlessly work on multiple projects under tight timelines. You are self-motivated and take pride in a solution-based approach, a ‘can do’ attitude and exceeding delivery expectations.

Responsibilities

  • Full cycle management of assigned accounts from booking to billing, including:
    • Act as account liaison with various stakeholders, including show management, key exhibitors, facility coordinators, suppliers, industry partners and internal teams.
    • Manage client needs and requirements throughout show cycle.
    • Work with client to gather event requirements.
    • Ensure ongoing and timely communications, entry and updates of event information to internal systems and departments.
    • Generate appropriate internal work orders ensure timely distribution of event requirements.
    • Attend internal and external pre-production meetings, site inspections and post show meetings, as required.
    • Attend move-in and move-out of events, as required.
    • Prepare billings.
  • Handle select exhibitor accounts as assigned.
  • Ensure timely re-bookings of assigned events.
  • Act in a supporting role on assigned shows, as required.
  • Promote Stronco through participation and involvement at industry events and associations, as assigned.

Qualifications

  • 5+ years of experience in the trade show and exposition industry.
  • Solid understanding of all lines of business required for production of shows.
  • Proven and exemplary account management and customer service skills.

  • Highly organized and detailed oriented with ability to multi-task, prioritize and work in a high pressured, fast-paced environment.

Exhibits Operations Supervisor

Summary

This position plays a key role on the exhibits operations team and works cross-functionally to plan, oversee and coordinate the full scope of exhibit activities taking place for show management and exhibitor requirements for all shows across the Company.

Duties & Responsibilities

  • Review and oversee production requirements of show management and exhibitor exhibit orders.
  • Work closely with assistant operations and transportation team to coordinate equipment, transportation and production schedules.
  • Collaborate with project managers on inventory needs, project labour requirements and onsite production schedules for individual shows.
  • Work with exhibit designers to generate and ensure accuracy of parts counts, inventory availability and requirements for specific jobs.
  • Ensure exhibit inventory is accurately pulled and prepped in warehouse.
  • Assist with sourcing labour and specialized trades for exhibits projects, as required.
  • Assist with sourcing materials, equipment, and third-party services, as required.
  • Support sales and account management team to determine exhibit operational requirements when quoting specific jobs.
  • Support training of Exhibits Ops team.
  • Act as project manager on assigned installs and shows.

Qualifications

  • 10+ years of exhibit experience, in a hands-on operational capacity.
  • Solid background in exhibit operations and installations.
  • Working knowledge and experience with Octanorm and Agam systems.
  • Solid understanding and working knowledge of show site operations.
  • Familiarity with local union jurisdictions.
  • Strong communication, supervisory and leadership skills.
  • Adherence to all warehouse and on-site safety regulations.
  • Travels to show site when required.
  • Keen eye for detail and strong organizational skills.
  • Ability to handle multiple tasks, projects and priorities in a deadline driven, fast-paced environment.
  • Ability to work evenings, weekends and overtime as required.

Accounts Payable Coordinator

Summary

In this role you will be responsible for carrying out full cycle accounts payable functions. You must have sound working knowledge and understanding of the full accounts payable cycle combined with solid related work experience in reconciling, processing, verifying and posting vendor invoices, purchase orders and expenses; maintaining payables listings and vendor files and processing high volume cheque runs.

Duties & Responsibilities

  • Accurate and timely processing of invoices.
  • Receive, organize, and enter payables entries.
  • Maintain vendor records.
  • Investigate, verify and resolve discrepancies relating to invoices, payments, purchase orders and statements.
  • Ensure invoices are supported by proper approvals and appropriate documentation.
  • Reconcile vendor invoices and statements.
  • Organize and process cheque runs.
  • Maintain and update payables records, listings and files.
  • Prepare reports as required.
  • Respond to payables related inquiries as required.
  • Ensure processing deadlines and accuracy standards are met.
  • Perform other duties as assigned.

Qualifications

  • Minimum of 3-5 years accounts payable background with high volume invoice processing experience.
  • Working knowledge and understanding of general bookkeeping principles.
  • Experience working in fast-paced, deadline driven environment with proven time management skills.
  • Proficient with Microsoft Office Suite. Strong working knowledge of Excel and Word a must.
  • Experience with DOS based accounting software, such as AS400, an asset.
  • Strong administrative and data entry skills.
  • Exceptional attention to detail, organization, multi-tasking and prioritizing skills.
  • Able to exercise confidentiality, discretion and diplomacy.
  • Strong verbal, written and interpersonal communication skills.
  • Mathematical aptitude with excellent analytical and problem-solving skills.
  • Post secondary education in bookkeeping, finance or equivalent related experience.
